Accounting Administrator
We’re looking for a Bookkeeper / Payroll & Accounting Administrator to help keep our financial operations running smoothly. This role is ideal for someone who is organized, self-motivated, and enjoys working in a creative, small-team environment. You’ll support our design team by managing day-to-day bookkeeping, payroll, and project invoicing, while coordinating with our external accountant as needed.
Key Responsibilities
Process bi-weekly payroll for all staff.
Receive, review, and record subcontractor invoices in our accounting software.
Prepare and send monthly project invoices to clients.
Complete monthly payroll tax filings.
Prepare and file quarterly GST and federal taxes.
Maintain accurate bookkeeping and financial records each month.
Coordinate with our external accountant to support monthly and year-end reporting.
Qualifications
2–5 years of bookkeeping or accounting experience, preferably with small businesses or design firms.
Proficiency with accounting software (QuickBooks).
Proficiency with Excel
Strong understanding of payroll, tax filing, and general accounting processes.
Excellent attention to detail and organizational skills.
Comfortable working independently and handling confidential information.
Nice to Have
Familiarity with project-based invoicing or professional services billing.
Experience supporting financial forecasting and budgeting.
Ability to reorganize or optimize existing accounting systems and workflows.
